Adding a workflow

Management > Workflow > Workflows > <Workflow>: Launch Workflow Editor

Workflow automates the globalization process with steps, assignees, logic, and transitions.

  1. From the Management > Workflow > Workflows page, click Add.
WorldServer launches the Workflow Editor with predefined required elements (Start, Finish, Cancel) in place. Another pre-defined step, Auto-Error, becomes available if automatic actions have been set up.
  2. Insert a step:
    • Click Insert > Insert Human Step to add a step taken by a person, or click the Insert Human Step icon.
    • Click Insert > Insert Automatic Step to add a step taken automatically, or click the Insert Automatic Step icon.
    • Click Insert > Insert Parallel Review Step to add a review step performed in parallel with other reviews, or click the Insert Parallel Review Step icon
    • Click Insert > Insert Parallel Sub-Workflow Step to add subordinating workflow that occurs in parallel with other steps, or click the Insert Parallel Sub-Workflow Step icon.
    • Click Insert > Insert Sub-Workflow Step to add a subordinating workflow, or click the Insert Sub-Workflow Step icon.
Note: To insert a sub-workflow step, you must have previously defined other workflows.
  3. Place the step within the workflow. Move the cursor to the appropriate location, and click to place it there.
  4. Connect the workflow steps by adding transitions between them. Click Insert > Insert Transition or click the Insert Transition icon. Drag the cursor between steps to connect.
If you are creating a workflow that has complex loop-back transitions, depending on where you position your steps, some transition lines might overlay each other, making it difficult to quickly determine which way the flow arrow goes. To help clarify this, the workflow editor highlights incoming and outgoing transitions of selected steps with different colors, so by selecting one step or the other, you can easily disambiguate those transitions.
  5. Add more steps and transitions, as appropriate. Be sure there are appropriate transitions between all steps, and between Start and Finish and appropriate steps.
  6. Click Workflow > Save or click the Save icon to save the workflow. Give the workflow an appropriate name.
Note: If you are creating a workflow for a term or term-entry validation process, select the Term Based workflow type before saving. If you are creating a workflow for an automated quote-approval process, select the Quote Based workflow type. Otherwise, use the default type, Asset Based. You can also specify the workflow type property in the Start step.
  7. Click the X in the upper right corner of the window or press Alt+F4 to close the Workflow Editor.
