User Type Assignments Tab Permissions

Translators and reviewers pick up their assignments, and project managers monitor and manage jobs and tasks, from the Assignments Tab.

Can view scoping information This permission allows users to view scoping information for a project via View scoping information in Assignments > Projects > Task List. There is a different permission ("Scope" option) for scoping assets in the Explorer tab. CM, PM
Can view scoping information for other vendors With this permission, the user can see scoping information if the cost model associated with the project is assigned to a vendor other than the one to which the user is assigned.
Can view costing information With this permission, the user can see monetary information in scoping reports for projects that have an associated cost model. CM, PM
Can view excluded/ canceled tasks With this permission, the user can see scoping information for all canceled tasks. PM
"Change Attributes" button This permission allows users to modify a project's attributes via the Change Attributes button in Assignments > Projects. When you select a project and click Change Attributes, the project attributes that are defined in Management > Administration > Customization appear in the dialog box. CM, PM
"Cancel" button This permission allows users to cancel a selected project via the Cancel button in Assignments > Projects. CM, PM default
"Change Priority" button If you have this permission, you can change the priority in the workflow queue of all the tasks within a project via the Change Priority button in Assignments > Projects in the project list, or of individual tasks from More Options > Task Options > Change Priority in the task list. Note that you cannot change the priority of a running task, only one that is waiting to run. CM, PM
"Tree View" option This permission allows users to use the Tree View in Assignments > Projects. When you view the project list in Tree View, you see the project list organized by project groups. A project group consists of two or more projects that share the same name and workgroup, are created at the same time and contain the same assets, but have different locales. When you switch to Tree View, the toolbar buttons switch to those for the task list page. CM, PM default
Tasks This permission groups the permissions for the View options in the task list page (Assignments > Projects > Task. These options are also in the Assignments > Projects page when Tree View is selected.

The view applies to tasks within the selected project. All users will see their own tasks whether or not this permission is set. If Tasks is selected, but none of the permissions underneath it is, the view drop-down menu will not appear.

Can view assigned and claimed tasks This permission is a base view for all users. It controls two views in the Assignments > Projects > Task view drop-down list. (You cannot claim a task unless it is assigned to you.)

Can view completed and canceled tasks This permission is most appropriate for project managers and administrators. It controls two views in the Assignments > Projects > Task view drop-down list. (You need to see both completed and canceled tasks to get a full picture of tasks that are not active.)

Can view tasks on human steps This permission is most appropriate for project managers and administrators. Project managers can use it to monitor which human steps await action. CM, PM default
Can view tasks on automatic steps This permission is most appropriate for administrators. Project managers can use it to monitor which automatic actions are in progress. CM, PM default
Can view tasks on error steps All users should be able to see if their tasks encounter errors. Project managers can use it to monitor all errors in workflows. CM, PM default
Can view tasks on cancel steps This permission is most appropriate for project managers and administrators. With this permission enabled, the task will appear in the task list, marked with a status of Canceled. CM, PM default
Can view tasks on parallel review steps This permission is most appropriate for reviewers, project managers, and administrators, to monitor the status of parallel reviews. CM, PM default
Can view tasks on sub-workflow steps This permission is most appropriate for project managers and administrators, to monitor the status of sub-workflows. CM, PM default
Can view tasks with changed assets This permission is most appropriate for project managers and administrators. PM
Can view tasks with issues If you assign this permission to a user type, the users in it will be able to view tasks with issues on the Tasks page by selecting tasks with issues from the View list. Otherwise, they will not be able to select this option.
Can view outdated tasks If you assign this permission to a user type, the users in it will be able to view outdated tasks on the Tasks page by selecting overdue tasks from the View list. Otherwise, they will not be able to select this option.
Can view unassigned tasks If you assign this permission to a user type, the users in it will be able to view unassigned tasks on the Tasks page by selecting unassigned tasks from the View list. Otherwise, they will not be able to select this option.
Can view unclaimed tasks If you assign this permission to a user type, the users in it will be able to view tasks with issues on the Tasks page by selecting unclaimed tasks from the View list. Otherwise, they will not be able to select this option.
"Create New Project" button This permission enables the Create New Project button in the Projects List page. This button leads to the Upload Files and Create Project page for creating projects. That page does not require that files must be located in the appropriate AIS directory, nor that the AIS folders (for all locales) and properties are already configured. CM, PM
"Claim" button This permission, when enabled, displays the Claim button, which prevents multiple assignees from working on an asset simultaneously. CM, PM default
"Unclaim" button The Unclaim button allows a user to whom a task is assigned to free an asset from exclusive use by the user that claimed it. CM, PM default
"Edit/Translate" button The Edit/Translate button permission governs whether the user can open the asset in a supported workbench or editor, depending on what is configured. To open an asset in one of the translation workbenches, the appropriate setup must be in place: Launcher, AIS mount, locale, linkage, and so on. CM, PM default
"In Browser Workbench" button The In Browser Workbench button launches the translation workbench in the browser. CM, PM default
"In SDL Online Editor" button The SDL Online Editor button opens the selected task in SDL Online Editor.
Important: The sdl_online_editor_enabled property works in conjunction with the SDL Online Editor permission that you need to grant to the appropriate user types. Consider the following scenarios:

The SDL Online Editor button is not displayed at all on the WorldServer 11.x user interface.

On the legacy interface, users can see the button, but a message informing them that they need to configure SDL Online Editor is displayed when they click it.

Moreover, even if sdl_online_editor_enabled is true and the SDL Online Editor permission is granted, you still need to add the appropriate automatic actions to your workflows for users to be able to open the asset in SDL Online Editor.

"In SDL Trados Studio" button The In SDL Trados Studio button allows users to export translation packages, which they can then open in SDL Trados Studio.
"In Desktop Workbench" button The In Desktop Workbench button launches the WorldServer Desktop Workbench offline, prompting you to send a translation kit containing the asset or assets and any associated translation memory and terminology database. CM, PM default
"In External Editor" button When an asset associated with a task is part of a project that does not use linkage, it can be edited externally, using the Launcher. The In External Editor button launches the configured editor for the file type. For XML files, the Launcher defaults to XMLSpy. For HTML files, it defaults to MacroMedia HomeSite. You must have the application in your Path. CM, PM
"Export" button The Export button allows you to export translation kits for offline work. It is primarily for translators. CM, PM default
"Import" button The Import button allows you to import to WorldServer translation kits you have worked on offline. It is primarily for translators. CM, PM default
"Complete" button The Complete button is necessary for a task to move from a human step to the next step in the workflow. All users who perform human steps (translators, reviewers, authors, editors) must have this permission. CM, PM default
"Cancel Tasks" button Certain task assignees should be given Cancel Tasks permission, so they can cancel tasks that do not need to be completed and are no longer part of the project. This permission allows you to cancel only tasks you have claimed CM, PM default
Can cancel tasks claimed by other users This permission allows users to cancel not only your own claimed tasks, but also those claimed by others. CM, PM default
"Update" button This permission is required for the Update button to appear in the Task List when a “tasks with changed assets” view is selected. The update feature allows you to add updates to tasks of currently ongoing projects without losing any translation work that has already been done. See the "Project Update" topic in either the WorldServer Online Help system or in the WorldServer User Guide. CM, PM
"Change Assignees" button This permission is most appropriate for project managers, so they can change assignees after project creation. CM, PM
"Change Due Date" button This permission is most appropriate for project managers, so they can adjust the due dates for tasks. CM, PM
Can change Step Status If you assign this permission to a user type, the users in it can change the statuses of steps in tasks.
"Change Properties" button This permission enables the More Options > Assets Options > Change Properties dialog in the Task List, and allows you to change the properties of the task assets. For this permission to be enabled, you must also have enabled Management > Asset Interface System > View and Change Properties. CM, PM
"Download" button This permission allows you to download task assets via Assignments > Projects > Task List > More Options > Asset Options > Download. If you want to translate offline and then import your translations, use the Export feature instead. CM, PM default
"Upload" button This permission allows you to upload task assets via Assignments > Projects > Task List > More Options > Asset Options > Upload.

When you download assets from a task list, they carry a full AIS path. You are expected to upload a zip file containing the same full path, which goes directly to the AIS root (/). Image localization is suited for this approach.

"Change Attributes" button This permission allows you to change task attributes via Assignments > Projects > Task List > More Options > Task Options > Change Attributes. CM, PM
"Move Tasks" button You can move tasks to either an existing project with the same locale or to a new project via Assignments > Projects > Task List > More Options > Task Options > Move Tasks CM
"Include Cost" button If you assign this permission to a user type, the users in it can see the Include Cost button on the Tasks page and use it to include the cost of canceled tasks in the overall project cost calculation.
"Exclude Cost" button If you assign this permission to a user type, the users in it can see the Exclude Cost button on the Tasks page and use it to exclude the cost of canceled tasks from the overall project cost calculation.
Issues Gives access to Assignments > Issues. CM, PM default
View drop-down menu This permission allows users to select a view that lists the following, depending on permissions granted:
  • all issues (use carefully, as the user can see every issue, regardless of to whom it is assigned)
  • issues for tasks claimed by me
  • issues assigned to me
  • issues assigned to me and issues for tasks claimed by me
  • issues assigned to both my locale and my workgroup

Can view all issues This permission allows you to view all issues, both task (logged for a particular task ) and independent (assigned to a user or workflow role). CM, PM default
Can view issues assigned to user's locale and workgroup The "issues assigned to both my locale and my workgroup" filter allows you to see issues that are not currently assigned to you but are substantially related to your work. These might be assigned to you in the future or they were assigned to you in the past. CM, PM default
Quotes This permission allows you to access Assignments > Quotes and view quotes in the system. CM, PM default
Can create quotes This permission allows you to create quotes for Clients. If you do not have this permission and try to add a quote, you get a message like this:
Error You are not permitted to
create Quotes.

Can override client settings for quote approval This permission allows you to change the quote-approval settings during quote creation. Enable this setting to allow users to override client setting for a manual or workflow-based quote approval process, as well as change workflows and workgroups for workflow-based quotes. CM
Can manually change quote status This permission allows you to edit the quote status and quotes, which is necessary for the Manual quote-approval process. (If you want client users to edit the quote status from TransPort, be sure to enable the Can approve quotes manually permission under the TransPort section.) CM, PM
Can update approved quotes This permission allows you to update approved quotes. Be aware that changed quotes may invalidate the quote agreement. CM
Background Jobs Gives access to Assignments > Background Jobs. CM, PM default
Can create background jobs in legacy This permission enables you to run the following types of jobs in the background. (If some users should always create jobs in the background, enable the background option and disable the foreground option.
  • Import translation kits
  • Import Translation Memory
CM, PM default
Can create foreground jobs in legacy You may want to allow some users to create both background and foreground jobs. In this case, enable both "Can create background jobs" and "Can create foreground jobs".

When users submit jobs in the foreground, the jobs will always be queued up and handled serially, thus reducing the potential for overwhelming your application server.

Can view all background jobs This permission is most appropriate for project managers and administrators, to monitor the process of jobs. If you have this permission, in addition to your own jobs, you can see:
  • all active jobs
  • all completed and canceled jobs
  • all jobs on hold
Users without the "Can view all background jobs" permission can only see:
  • my active jobs
  • my completed and canceled jobs
  • my jobs on hold
Can cancel, hold, or resume any background jobs This permission enables the Cancel, Hold, and Resume buttons in Assignments > Background Jobs.

The permission is most appropriate for administrators, to manage all the jobs in the background job queue. Turn OFF this permission for most Project Managers.

Can cancel, hold, or resume the user's background jobs This permission enables the Cancel, Hold, and Resume buttons in Assignments > Background Jobs. Give this permission to User Types who need to manage their own jobs. CM, PM default
Can change priority of any background jobs This permission enables the Change Priority button in Assignments > Background Jobs.

This permission is most appropriate for project managers and administrators, to manage the background job queue, allowing them to change the order in which jobs will be processed.

Can change priority of the user's background jobs This permission enables the Change Priority button in Assignments > Background Jobs. It gives permission for users who need to manage their own jobs. CM, PM default
Workflow Engine Queue Gives access to Assignments > Workflow Engine Queue.

The Workflow Engine Queue allows you to monitor the status of automatic steps from projects across the WorldServer environment. Depending on your privileges, you can see all the tasks in projects that belong to you, or you can view tasks from all projects in the system.

Can view all tasks

This permission is most appropriate for project managers and administrators, to manage the queue of automatic actions. All users are allowed to see their own tasks in the queue. This permission allows the User Type to see all tasks in the queue.

Can cancel all Tasks and Filter Tasks

This permission is most appropriate for administrators, to manage the queue of automatic actions. It controls access to the button that cancels waiting tasks in the task queue; by default, only the Administrator User Type has this privilege.

Turn OFF this permission for most Project Managers.

Can change priority of all tasks This permission is most appropriate for administrators, to manage the queue of automatic actions. It controls access to the button that changes the priority of any waiting tasks in the task queue; by default, only the Administrator user type has this privilege. CM, PM default
Filter Engine Queue Gives access to Assignments > Filter Engine Queue.
Note: When assigning permissions to user types, you should take into account the fact that certain permissions might override others.
For example, a project group contains five projects (corresponding to five different locales) and Translators A and B only have permissions on two of those locales. Depending on the permissions you assign to the user type to which Translators A and B belong, they will be able to see either all the projects for the project group in question, or only the projects corresponding to the locales on which they have permissions, as in the following table:

  • Can view completed and canceled projects assigned to user's locale, workgroup and vendor
These permissions are related directly to user locales. If you want the users of a certain type to see only the projects and tasks corresponding to their specific locales, do not select any other check boxes under Assignments Tab > Projects > View drop-down menu.
Translators A and B can see all the projects and tasks in the project group. Any or all of the permissions listed above, plus a permission that implies viewing all projects, regardless of their locale, such as Can view all active projects. In this case, the Can view all active projects permission allows the users of that type to view active projects and tasks, regardless of their locale. Such a permission overrides locale-related permissions and allows users to see all the projects and tasks in a project group.
